iTRAC: End of the Year
Cleanup
At the end of each school year,
AES recommends “cleaning up” your iTRAC management
system. By investing a little time
now, your grade book will be easier to manage for the next school term.
Option 1 - Full Cleanup Procedure
This option will completely
delete all students, lockers, and teams, as well as class periods and marking
periods. This will clear all data from
the system.
1. In
the iTRAC Management System, open Lab Setup.
2. Click
the Clean Up icon (wastebasket).
3. Click
to select the following option(s):

Delete
All Students
§
Delete
All Journals
§
Delete
All Teams and Clear All Lockers.
WARNING: This will delete ALL student
data and work from the system.
4. Click
Start Delete Process – Depending
on the number of students, this may take awhile to complete.
Class Periods: If you will be using the same class periods next
year, skip this section. If you will not be using the same class periods next
year, delete them:

In the iTRAC
Management System, open Class Periods.
§
Select one of your class periods.
§
Click the Delete
icon on the top toolbar.
NOTE: Deleting class
periods will not delete students, journals, teams or lockers. If you have any students in the system,
they will be automatically placed into the unassigned class period – N/A.
Marking Periods: If you will be using the same marking periods
next year, skip this section. If you will not be using the same marking
periods next year, delete them:

In the iTRAC
Management System, open Marking
Periods.
§
Click the Delete
Last button until all but the last Marking Period are deleted. NOTE: The system must have one marking
period – you can not delete all marking periods.
Option II - Partial Cleanup Procedure
This option will delete all
teams and empty lockers, but will save student grades and journals. This
option is recommended if you have students returning to your lab next year.

In the iTRAC
Management System, open Lab Setup.
§
Click the Clean
Up icon (wastebasket).
§
Click to select Delete All Teams and Clear
All Lockers.
§
Click Start
Delete Process – depending on the number of teams and lockers, this
process may take awhile to complete.
Class Periods: If you will be using the same class periods next
year, skip this section. If you will not be using the same class periods next
year, delete them:

In the iTRAC
Management System, open Class Periods.
§
Select one of your class periods.
§
Click the Delete
icon on the top toolbar.
NOTE: Deleting class
periods will not delete students, journals, teams or lockers. If you have any students in the system,
they will be automatically placed into the unassigned class period – N/A.
Optional: Create a Class Period of the Year: Some teachers who
have returning students prefer creating a class period for students by year
(i.e.; 2004 – 2005 Students.) If you
skip this step, your students will be placed in the N/A – Unassigned class
period until you move them for the next school term.

Click the New
Class Period icon (the desk with a blank piece of paper).
§
Label the Class Period with the school year/term
dates.
§
Title it Old
Students.
§
Open the Grade Book and move all of your old
students into the class period you just created for them.
Marking Periods: If you will be using the same marking periods
next year, skip this section. If you will not be using the same marking
periods next year, delete them:

In the iTRAC
Management System, open Marking
Periods.
§
Click the Delete
Last button until all but the last Marking Period are deleted. NOTE: The system must have one marking
period – you can not delete all marking periods.
NOTE: To see a student’s
work from the previous year, you will need to use the correct date range in
the grade book.
Will your returning students be repeating the Introduction Unit?
If returning students will need to
complete the Introduction unit for a second time, you will need to remove the
module from each student’s journal.

In the iTRAC
Management System, open the Grade Book.
§
Locate the student(s).
§
Right-click the grade cell for Introduction Unit.
§
Click Remove
Module from Journal. Now the student will be able to repeat the
Introduction unit.
