webTRAC: End of the Year Cleanup
At the end of each school year, AES
recommends “cleaning up” your webTRAC management system. By investing a little time now, your grade
book will be easier to manage for the next school term.
NOTE: Use the appropriate instructions below
based on your webTRAC version.
To check the webTRAC version:
1.
Log into webTRAC Manager.
2.
On the webTRAC virtual desktop, locate the
potted plant. The potted plant is in the upper left corner of the screen.
3.
Click the potted plant.
4.
The build number is listed on the message
board.
Option 1 – Delete All Student Data
This option will completely
delete all students and their work from the system.
webTRAC 4.0 or newer
1. In
the webTRAC Manager, open the Grade
Book.
2. For
each class period, do the following:
§
On the top toolbar, click the Select All button.
§
Click the Remove
button.
§
Click Yes to remove all students from the class period.
3. The
following instructions can ONLY be completed by a webTRAC user with
administrative privileges.
§ In
the webTRAC Manager, open the Data
Management area.
§ Open
the Clean Up page.
§ Select
a Student Selection Filter, such
as Students not assigned to any classes.
§ Click
Search.
§ To
delete students, click Delete Selected
Students. Note that student data CANNOT be recovered after being deleted
from the system.
webTRAC 3.1 or earlier
1. In
the webTRAC Manager, open the Grade
Book.
2.
For each class period, do the following:
§
On the top toolbar, click the Select All button.
§
Click the Delete
button.
§
Select one of the options based on your needs.
Note that students who are deleted from the system CANNOT be recovered after
being deleted.
§
Click OK.
Option 2 – Archive Student Data
By creating an archive student data “class period,”
you will be able to organize and access prior student data. Keep in mind that
this data will continue to be stored on your school server and will use
available server resources.
1. In
the webTRAC Manager, open the Grade
Book.
2.
Click the New Class Period icon (the desk with a blank piece of paper).
3. On
the left side of the screen, click to open the Class Periods page.
4.
In the top toolbar, click New.
5.
Name the class as follows:
§
Class Period: 2006-07
§
Title: Archive
Student Data
6.
Select one of the available options. Click
Next.
7.
If prompted, select a Course Template or
Class Period.
8.
Click Finish.
9.
In the toolbar, click Save.
10. In
the webTRAC Manager, open the Grade
Book.
11. For
each of your class periods, do the following:
§
Open the class period with the student data.
§
On the top toolbar, click the Select All button.
§
Click the Move
button.
§
Click to select your 2006-07 (Archive Student Data) class period
§
Click OK.
