webTRAC Getting Started Cheat Sheet NOTE: AES strongly recommends that teachers use Lab Setup section of the Course Guide to fully set up their lab. WebTRAC Administrator Lab Setup Step 1 – Log on to WebTRAC 1. At the teacher station, on the Windows® desktop, double-click the webTRAC Manager icon. 2. When prompted, enter the default logon name: admin and the default password: sea, and then click OK. Step 2 – Edit Administrator Information 1. On the Virtual Desktop, click Lab Setup. 2. On the Teacher Information page, click the Define Teachers tab. 3. Make sure the on-screen Help pane is displayed on the right side of the screen. If the Help pane is not displayed, in the top toolbar click Help. 4. In Help, click Edit teachers. 5. Using Help as a reference, edit the Administrator information to be your own information. § The Name field is for your complete name. § The ID field is for the name you will enter when going into WebTRAC. Typically this is your first name. 6. Using Help as a reference, change the password to one that is meaningful for you. 7. Record your ID & password in a safe place. You will not be able to open webTRAC without it. 8. In the top toolbar, click the Save button. Step 3 – Enter Teacher Information Complete this
step only if other teachers will be using the webTRAC system. 1. On the Teacher Information page, click the Define Teachers tab. 2. In Help, click Enter teachers. 3. Using Help as a reference, enter teacher information for any teachers who will use the system. § Give each teacher a unique ID. Make sure to give the ID each teacher. § Do NOT change the password. The default password for teachers is “password.” Teachers should change their own password when they setup webTRAC. 4. In the top toolbar, click the Save button. Step 4 – Create Marking Periods and Semesters 1. On the left side of the screen, click to open the Marking Periods page. 2. On the right side of the screen in Help, click Create marking period sets. 3. Using Help as a reference, create a new marking period set for the current or upcoming school year. NOTE: Marking period sets and marking periods can only be accessed by a user with webTRAC Administrator privileges. 4. In Help, click Create marking periods. 5.
Using Help as a reference, create marking
periods and semesters for the current or upcoming school year. § Name: Enter a name for the Marking Period Set (Example: “8th Graders”). § NOTE: Marking Period Start and End dates can only contain “/” marks between fields. “-” marks will not work. Teacher Lab Setup Step 5 – Create Classes 1. On the left side of the screen, click to open the Class Periods page. 2. On the right side of the screen in Help, click Create new class periods. 3. Using Help as a reference, create a New class period for the current or up-coming school year with ALL available units. 4. When you complete the wizard, on the right side of the screen in Help, click Marking Period Set. 5. Using Help as a reference, select a marking period set for your class periods. 6. On the Help toolbar, click Help for Page. 7. In Help, click Student Profile. 8. Using Help as a reference, select a student profile for your class periods. Step 6 – Enter Student Information 1. On a sheet of paper, assign each student a unique ID. Student IDs can include letters and numbers and contain up to 20 characters. You must give the IDs to the students in order for them to log on. 2. On the left side of the screen, click Grade Book. 3. On the left side of the screen, click to open the Student Information page. 4. Click the drop down arrow next to Class Period, and select the correct class period. 5. On the right side of the screen in Help, click Enter students. 6. In Help, click Quick Entry. 7. Using Help as a reference, enter students into the system. 8. Click the Save button. The students
that have been manually entered into WebTRAC will now be able to log into the
units. Step 7 – Exit webTRAC Manager 1. If you are not on the Virtual Desktop, click Close. 2. On the Virtual Desktop, click Exit. |
