Operations Administrator

Deliver the AES mission through support of customer facing teams and execution of critical operational processes.

Applied Educational Systems (AES) has created a digital curriculum system which helps teachers cut 10+ hours of planning and grading each week. AES helps more than 3,000 teachers save time each year, and continues to expand reaching more teachers than ever. What You Will Do In This Role

You will be an essential and highly visible member of the operations team. Your daily work touches each customer as you:

  • Own and complete all order entry processes working in Salesforce and Intacct
  • Monitor customer invoice status and secures payment for accounts past due date
  • Coordinate with Account Managers team to complete all vendor registrations requests for school
  • Serve as primary point of contact for AES to register, plan, and attend industry conferences
  • Monitor textbook adoptions in various states, compile information and respond to requests
  • Perform ad-hoc administrative support for operations, sales, success and marketing departments
  • Work on special projects or tasks that are critical to the business
  • Collaborate with Director of Operations to improve existing processes and efficiency
  • Participate in team meetings

What You Need for This Role

  • Attention to detail
  • Highly organized
  • Salesforce, or relevant CRM experience strongly preferred
  • Intacct, or relevant accounting software experience preferred
  • 3 years of experience in a similar role
  • Highly proficient in Microsoft Office applications
  • Previous experience interacting with customers
  • Self-starter comfortable working on projects with limited guidance
  • Passion for education and our mission to empower lifelong learners
  • Desire to go above and beyond to assist teammates and customers with a positive attitude
  • Intellectual curiosity and the willingness to learn from those around you
  • Ability to learn existing processes and find ways to improve them
  • Role requires notary license to be attained (AES will pay for certification and any required classes)
  • Willingness to work from the AES office due to confidential nature of information in this role
